Silent Auction / Live Auction? The Auction Committee considers the pool of the donations submitted, and picks out a dozen or two to save for the Live Auction – the rest of the donations are offered in the Silent Auction.
* Silent Auction: Bidders write their name and their bidding amount on the merchandise bid sheet. If they wish to bid higher later on, they write down their name and bid again.
* Live Auction: The auction is led by a professional auctioneer. Bidders are given a bidding number and allowed to bid for merchandise. The winner’s number is recorded to track their purchase.
Proxy bidders? For the Silent Auction, the bidding will close after the second service coffee time, so those who wish to leave after the first service (or otherwise won’t be around at the end of bidding) can use a member of the auction committee to place a proxy bid. Look for folks wearing a “proxy bidder” name tag, or let the auction committee know in advance.
What’s being auctioned? An Auction Catalogue will be created listing the parties, adventures, services, lessons, food, handmade arts and crafts, and interesting “stuff” that members and friends have chosen to donate. The Auction Catalogue is will be mailed to those participating in recent auctions and Society Activities, and will be available on the UUSIC.org website.
Payment? Payments (cash or check) will be accepted after both the Silent Auction and the Live Auction. Payment for Silent Auction items can be delayed until after the Live Auction, and successful bidders not present at these opportunities will be billed by mail. Often there are “cash and carry” items available at both the Silent and Live Auction events (no bidding, buy outright for a pre-set price), payment for these is due at time of purchase.
Child care? During the Silent Auction events, kids’ activities will be offered as entertainment and/or kids and babies can easily tag along with parents. During the Live Auction and dinner, actual child-care will be available -- kids can choose to eat dinner with parents or eat separately in the child-care area, and kids can watch a movie or play during the Live Auction time.
Getting purchases? Items that are available on the auction day can be taken home directly after bidding closes, or if necessary will be stored briefly so buyers can pick them up the next Sunday. For items that are not present on the auction day and are meant for delivery later, or for services and events, the buyers should contact the donors to arrange to receive the item or service or to attend the event. Also, donors who make the extra efforts to contact the buyers are really appreciated. The auction committee will make reports for who bought what available to both buyers and donors, and will maintain the master database for questions that arise after the auction.
“Spending money” for events? At the Silent Auction evening opener, finger food will be available at no charge, and voluntary donations will be accepted for wine. At the Silent Auction Sunday morning session, tickets for a Cake Walk or similar event will be sold, and “cash and carry” items will be available. At the Live Auction and Dinner, voluntary donations for wine and tips for the wait staff will be accepted, and “cash and carry” items related to the evening’s theme will also be available.
